How we collect and process your personal information

The DfP collects personal information about its community members and other customers. We collect personal information on the website, the community portal, via the event registration, conference app and newsletter sign-up page linked to this website. We only have access to/collect information that you voluntarily give us via the website, registration/sign up forms, email and other direct contact from you. With your permission we will make this information to other community members.

With a few exceptions, the information we collect is limited to the kinds of information that can be found on a business card: first name, last name, job title, employer name, work address, work email, and work phone number. We use this information to provide our community members and customers with services, including events, content relevant to Microsoft Dynamics industry, training, and the like. We do not sell personal information to anyone and only share it with third parties who are facilitating or supporting the delivery of DfP services.

1.    Live Events & Conferences

Members & Event Attendees

The Directions4 for Partners hosts several live, in-person events throughout the year. These include conferences like the Directions EMEA, Directions ASIA and Days of Knowledge, for example. If you register for one of our events and you are an already registered member our community, we will access the information in your account at directions4partners.com to provide you with information and services associated with the event. You may be asked to provide more information when signing up for an event (e.g. whether it’s your first DfP event, your functional and product interests, and some information about your title and industry).

If it is the first time that you sign up for one of our events, we will collect the following information: name, email, company, title, address, phone number, whether it’s your first Directions for Partners event, meal preferences, and the like.

DfP uses the information provided by event attendees to provide them with the services related to the event, including badge printing, tailoring sessions to meet the audience profile and to determine the sessions likely to require the biggest rooms, and related purposes connected with the event. We also use the information for billing purposes, as some attendees do not pay at the time of registration.

Presenters/Speakers

If you are a presenter/speaker at one of our events, we will collect information about you including your name, employer and contact information, and photograph, and we may also collect information provided by event attendees who evaluated your performance as a presenter. We may also make and store a recording of your voice and likeness in certain instances. The DfP relies on a legitimate interest basis for collecting, storing and processing this information.

General (applicable to both Speakers and Attendees)

We keep a record of your participation in DfP events as an attendee or presenter. This information may be used to provide you with membership and event services or to tell you about other events and initiatives. It may also be used to help the DfP understand our community members’ needs and interests to better tailor our services to meet your needs.

Some of our events are sponsored. The DfP provides an attendee list to sponsors, co-sponsors and exhibitors of our events. The DfP may also allow sponsors, co-sponsors and/or exhibitors to send you material by mail once per sponsored event, in which case the DfP engages a third-party mailing house and does not share your mailing address directly with the sponsor/exhibitor. If you do not wish to have your information included in an attendee list or to receive information from sponsors, co-sponsors and/or exhibitors, you can express your preferences when you register for events or you may contact the DfP directly at info@directions4partners.com. Sharing your personal information with a sponsor allows you to receive the content for free. We do give attendees a choice not to receive marketing messages from the sponsor or from the DfP.

Exhibitors at DfP events may wish to scan your badge so they can contact you with more information. The DfP uses the “Directions Events App”  to provide badge scanning services to exhibitors who request it. By allowing an exhibitor to scan your badge you are consenting to have DfP provide the exhibitor with your contact information, and thereafter you may be contacted by the exhibitor post-event. If you do not wish the exhibitor to contact you, please communicate this directly with the exhibitor at the event or thereafter.

Pictures and Video

We take pictures and videos throughout the request. You may inform the photographer or videographer if you wish pictures or videos of you not to be taken. By accepting this policy, you consent to us using pictures or video material of you on our website and our social media pages. If you wish that the images or video of your participation would not be used, please contact us and we will either anonymize the materials or remove them.

Online-Events

DfP (alone or together with sponsors) offers several web events or webinars throughout the year. Many of them are free to DfP community members. DfP also offers web conferences that are co-sponsored by the DfP and its corporate partners, and these conferences are often free to everyone because of the co-sponsors underwriting. This means that when you register for a co-sponsored web event, you will be providing your registration information to both the DfP and the applicable co-sponsor. All DfP web conference co-sponsors must agree to follow applicable privacy and data protection laws.

Publications & Newsletters

From time to time, DfP makes available content for our community members. In addition to producing original content, the DfP also subscribes to articles, blogs and content produced by others, which we may link to from our website. This means you may find yourself on the DfP website or reading an email from the DfP team and we will offer you a link to another organization’s website (e.g., Microsoft partner) where you will find content on Microsoft partner industry that we find relevant and useful to you. At these times, you will be leaving the www.directions4partners.com website. DfP is not responsible or liable for content provided by these third-party websites or personal information they may happen to gather from you.

You may wish to subscribe to the DfP newsletters. To receive DfP newsletters by email, you will need to create a “profile” with us (if you don’t have one yet) which involves providing the DfP with at least your first name and last name, company name, title, an email address, and the country in which you live. The purpose of processing this data is to have the necessary information to deliver the DfP newsletters by email. The DfP is the data controller of this information, and the processing is managed by NAME (detailed below). The DfP does not share this information with any third party other than to store the information in our cloud-hosted databases. We rely on a contract basis to process your personal information for purposes of fulfilling your request to receive our publications. You may at your own option choose to subscribe to DfP news and updates which may be considered direct marketing.

You may manage your DfP subscriptions by subscribing or unsubscribing at any time. Please note that if you have set your browser to block cookies, this may have an impact on your ability to unsubscribe. If you have any difficulties managing your email or other communication preferences with the DfP please contact us at info@directions4partners.com.

The DfP uses Google Analytics to track how often people gain access to or read our content. Provided you have opted-in to analytics cookies, we use this information in the aggregate to understand what content our members find useful or interesting, so we can produce the most valuable content to meet your needs.

Surveys

From time-to-time our site may request information via surveys or contests. Participation in these surveys or contests is completely voluntary and you may choose whether or not to participate and therefore disclose this information. Information requested may include contact information (such as name and shipping address), and demographic information (such as zip code, age level). Contact information will be used to notify the winners and award prizes. Survey information will be used for purposes of monitoring or improving the use and satisfaction of this site.

Your Correspondence with DfP

If you correspond with us by email, the postal service, or other form of communication, we may retain such correspondence and the information contained in it and use it to respond to your inquiry; to notify you of DfP conferences, publications, or other services; or to keep a record of your complaint, accommodation request, or similar concern. As always, if you wish to have the DfP “erase” your personal information or otherwise refrain from communicating with you, please contact us at info@directions4partners.com.

Please Note: if you ask the DfP not to contact you by email at a certain email address, the DfP will retain a copy of that email address on its “do not send” list in order to comply with your no-contact request.

The DfP has a legitimate interest in maintaining personal information of those who communicate voluntarily with the DfP

Online Purchase

You may choose to purchase services from the DfP using a payment card. Typically, payment card information is provided directly by users, via the DfP website, into the PCI/DSS-compliant payment processing service to which the DfP subscribes, and the DfP does not, itself, process or store the card information. Occasionally, members or customers ask DfP employees to, on their behalf, enter payment card information into the PCI/DSS-compliant payment processing service to which the DfP subscribes. We strongly encourage you not to submit this information by email. When DfP employees receive payment card information from customers or members by email, fax, phone, or mail, it is entered as instructed and then deleted or destroyed.

Purposes for processing your data

As further detailed above, the DfP processes your data to provide you with the services you have requested or ordered from us, including events, webinars, publications, and other content and training. We use this information to refine our services to better tailor them to your needs and to communicate with you about other services the DfP offers that may assist you in your Microsoft Dynamics business or otherwise help you do your job as a privacy professional. Most of the time, the DfP needs to process your personal data to fulfill an order for services – including event services, with all the attendant benefits and professional opportunities the DfP provides. Sometimes the DfP has a legitimate interest in processing data to better understand the needs, concerns, and interests of DfP community members so the DfP can operate optimally as an association and as a business. And sometimes, the DFP relies upon your consent, in which case we will keep a record of it and honor your choices.

What happens if you don’t give us your data

You can enjoy many of the DfP services without giving us your personal data because a great deal of information on our website is available even to those who are not registered at DfP website. You can also enjoy subscriptions to our newsletters without becoming an DfP member, but you will need to create a profile with or provide information to us which involves providing your name, email, company, title, country and postal code. Some personal information is necessary so that the DfP can supply you with the services you have purchased or requested, and to authenticate you so that we know it is you and not someone else. You may manage your DfP subscriptions and you may opt-in or opt-out of receiving marketing communication at any time.

Use of www.directions4partners.com

As is true of most other websites, the DfP’s website collects certain information automatically and stores it in log files. The information may include internet protocol (IP) addresses, the region or general location where your computer or device is accessing the internet, browser type, operating system and other usage information about the use of the DfP’s website, including a history of the pages you view. We use this information to help us design our site to better suit our users’ needs. We may also use your IP address to help diagnose problems with our server and to administer our website, analyze trends, track visitor movements, and gather broad demographic information that assists us in identifying visitor preferences.

When and how we share your information with others

We will not share your information with any third party outside of our organization, for purposes other than as necessary to fulfill your requests, e.g. to complete registration or subscription procedures. These third parties do not use or have access to your personal information for any purpose other than cloud storage and retrieval. On occasion, the DfP engages third parties to mail information to you, including items like books you may have purchased, or material from an event sponsor.

We do not otherwise reveal your personal data to non-DfP persons or businesses for their independent use unless: (1) you request or authorize it; (2) it’s in connection with DfP-hosted and DfP co-sponsored events as described above; (3) the information is provided to comply with the law (for example, to comply with a search warrant, subpoena, or court order), enforce an agreement we have with you, or to protect our rights, property or safety, or the rights, property or safety of our employees or others; (4) the information is provided to our agents, vendors or service providers who perform functions on our behalf; (5) to address emergencies or acts of God; or (6) to address disputes, claims, or to persons demonstrating legal authority to act on your behalf; and (7) through the DfP Member Directory as described below. We may also gather aggregated data about our members and Site visitors and disclose the results of such aggregated (but not personally identifiable) information to our partners, service providers, advertisers, and/or other third parties for marketing or promotional purposes.
